Clinic Administrator job description
AEC is a non-profit consulting firm providing services in the areas of energy, climate, other environmental issues, and social equity; we perform research and analysis for our clients (public interest environmental and social equity advocacy groups and agencies). The Clinic Administrator is a newly created position at AEC and may grow and develop with the person hired. AEC's Clinic Administrator will work together with our 15-person staff to manage and organize the Clinic.
Tasks and responsibilities for a Clinic Administrator include:

  • Prepare invoices and other financial documents in collaboration with AEC's bookkeeper and staff (10%)
  • Maintain internal planning systems for staff time and project budgeting (10%)
  • Act as an office manager: overseeing IT service and other contractors, ordering supplies, monitoring the office for maintenance issues (10%)
  • Monitor mail and other correspondence including bills; deposit checks (5%)
  • Oversee AEC communications (website, blog, social media) with the assistance of a part-time Communications Assistant and other staff (10%)
  • Oversee hiring of new employees and their on-boarding (10%)
  • Attend board meetings as a non-board-member; represent AEC at other functions (5%)
  • Maintain and organize AEC's cloud-based record keeping (10%)
  • Assist project managers with proposals, grant writing, and finalizing publications (10%)
  • Oversee student workers (10%)
  • Attend trainings to advance in skill and knowledge (10%)
    AEC is looking for a candidate with 2-4 years of relevant experience, including overseeing hiring processes and invoicing, managing various support staff like technology support, bookkeepers, and office cleaners, and assisting staff with project proposals and grant writing.     This is a full-time position-only applicants who can work full-time will be considered. We also expect all applicants to be willing and able to work a minimum of three days per week from our Arlington, MA office. (AEC staff are currently working remotely but plan to return to a hybrid office plan soon.

    Mandatory qualifications:
    • Bachelor's degree
    • 2-4 years of administrative experience
    • Ability to manage time well
    • Ability to work collaboratively, sharing tasks, knowledge, and workspace with colleagues
    • Willingness to learn and use feedback to improve
    • Strong organizational skills
    • Microsoft Word and Excel skills
    • Ability to work in-person at our Arlington, Massachusetts office at least 3 times per week
      Desired qualifications:
      • Non-profit management experience; degree or training in non-profit management is a plus
      • Grant and proposal writing experience
      • Accounting or bookkeeping experience; familiarity with QuickBooks is a plus
      • Web development and related social media management experience; familiarity with Squarespace and/or MailChimp is a plus
        Salary and benefits at AEC:
        • 35-hour work week
